Sending changes for approval

Users without the ability to publish changes must send their page edits to be reviewed, approved, and published.

  1. When the changes are ready for approval, select the check box next to the page or pages that you wish to publish.
    Tip: You can select multiple check boxes to publish multiple pages at a time, if desired.
  2. Select Request approval.
    A dialog box appears and a link checker scans the selected pages to detect any links that appear to be broken. The link checker indicates if any questionable links are found and allows you to view the links in question.
  3. Select a situation and follow the corresponding steps.
    Situation Steps
    Publish ASAP:
    1. Enter a description of the updates made to the pages.
      Tip: Adding a description of changes made helps later on when you're reviewing historical changes.
    2. Select Send for approval to send changes to the Approving group.

      The Approving group reviews the request and publishes once approved.

    Schedule:
    1. Select the date and time that you'd like the changes to go live.
    2. Select Changes expire to set an end date and time, if applicable.
      Note: If an end date is selected, the changes are live until the selected end time. The page then reverts to the last published version. If no end date is selected, the page stays in its current published state until you edit and publish new changes to the page.
    3. Enter a description of the updates made to the pages.
      Tip: Adding a description of changes made helps later on when you're reviewing historical changes.
    4. Select Send for approval to send changes to the Approving group.

      The Approving group reviews the request and approves publishing at the scheduled date and time.

When you send changes for approval, you'll receive an email to notify you that your request for approval was sent. All members of the Approving group receive an email indicating that there are changes ready to be approved.

The Approving group reviews the changes.

  • If the changes are approved, they are published.
  • If the changes are rejected, the initial user is notified via email and can update the page, as needed.
